Hotel booking procedures updated

The UNC Charlotte Marriott Hotel and Conference Center Information webpage has been updated, as follows:

  • Hotel booking procedures now include an information form. This form should be completed and emailed to the Hotel after reserving a room on Marriott.com in situations where a campus department needs to book a room at the UNC Charlotte Marriott Hotel on behalf of a guest. This information form will clarify how the campus department plans to pay for the guest’s charges during their stay. If allowable charges are to be paid using a campus department’s University purchasing card (p-card), the Hotel will also send a third party authorization form to the departmental contact separately to authorize the guest’s room, tax and parking charges to be applied to the department’s p-card.
    • Reminder: A UNC Charlotte Business Rate is available when reserving a Standard guest room for individual travel for University guests traveling on University business. See the reservation procedures and hotel policies PDF near the bottom of the Hotel information webpage.
  • Campus event scheduling flowchart footnote has been revised. Footnote 3 includes two updates: 1) only two required signatories (Hotel and Director of Materials Management) and 2) the contract amount requiring Vice Chancellor of Business Affairs approval was increased to $100,000.

Reminder, the University is not exempt from hotel occupancy taxes.
